User
Pass
A Stadium user pass card is issued in March for the duration of
one year (April to March), which entitles the user access to the
track and other ancillary services e.g. Changing rooms and social
areas, except when an outdoor event is taking place, or at the Duty
Officer’s discretion. The user has the option of either purchasing
an annual pass card, or if preferred a daily ticket.
A Stadium pass card may be purchased on a yearly or daily basis
from reception.
Admission Policy/Guidelines
No cans of any kind are to be taken into the
Sports Hall.
No chewing gum.
Ensure you are in possession of a valid
receipt, showing payment for the court you are using; random checks
may be made anytime by Duty staff.
Please ask Reception if you would like to use
the indoor running straight outside of normal club times.
Do not wear shoes of any kind that may leave
black marks on the floor.
Where changeovers of equipment are necessary,
they will commence immediately at the start of your booking time,
which is normally on the half hour. The changeover will be
completed as quickly as possible after the start of the
session.
No allowance can be made for any playing time
lost due to changeovers, but play will not be interrupted before
the end of the session.
Equipment changes are always kept to a
minimum, but are sometimes unavoidable if the Stadium is to
maximize usage of facilities.
Do not enter the Hall before your booking
starts.
No football of any kind to be played in the
indoor running track.
Please turn off your mobile phone whilst in
the Main Hall.
Please use the lockers provided to store your
bags and valuables (lockers take a £1 coin).
Conditions of Hire
THE HIRER
The venue can be hired by anyone aged 18
years or over at the time an application is made for hire of the
facilities. The person signing the venue booking form is
responsible for the payment of the booking fee and must ensure the
good conduct of everyone attending the event. It is a
condition of the hire agreement that the hirer must be in
attendance throughout the booked period. In the event of the hirer
not being available due to a sudden emergency i.e. illness,
the booking can be transferred to another person with the prior
approval of the Stadium Manager, providing the nominated
person is 18 years or over on the date the facility is hired.
The Stadium Manager reserves the right to ask for proof of
age.
CASUAL BOOKINGS
Leisure card
holders
A leisure card holder may
book seven days-ahead i.e. Monday to Monday, and must
quote their leisure card number each time they make a booking.
All Users must produce their card when arriving to take up their
booking.
Leisure card holders may pay for their casual
booking at the time they are due to play, and when they arrive at
the venue they must produce their leisure card each time in
order to obtain any discount due. Under no circumstances can a
leisure card holder allow someone else to use their card for
booking purposes, and each time they make a booking the card
holder must attend in person.
Cancellation
If less than 48 hours notice of
a cancellation is given, the hirer will not be entitled to a
credit or refund. If a court is cancelled more than 48 hours in
advance of the booking and payment has been made, the hirer will
receive a full credit only for another booking.
Non Leisure Card Holders
Non leisure card holders can also
make a casual booking seven days ahead i.e. Monday to
Monday, but must pay on
booking. Bookings will not be accepted without
full payment.
Cancellation
If more than 48 hours notice of
a cancellation is given a credit or refund will be given at
the discretion of the Stadium Manager. If a court is cancelled less
than 48 hours in advance of the booking, the hirer will not be
entitled to a credit or refund.

BLOCK BOOKINGS
An application for a block booking will be
considered on a twice-yearly basis from 1st April to 30th September
and from 1st October to 31st March. All existing block booking
customers will be sent a standard venue booking form approximately
4-6 weeks before the start of a new block-booking period together
with a letter informing them of the date the application is to be
returned to the venue. Following the deadline all applications will
be considered on first come first served basis and no guarantee can
be given that the applicants preferred dates/times shall be
approved. All applications are subject to availability and in
accordance with the stadiums current programming policies.
HOW DO I PAY FOR MY BLOCK
BOOKINGS?
Regular hirers of the facilities will
be invoiced monthly and must pay for their bookings in advance.
I.e. An invoice will be sent towards the end of each month for all
bookings made in the following month. Payment must be made by the
due date, which is normally the hirer's first date of the current
month's bookings. The Manager reserves the right to vary the
methods of payment and when this happens the customer
will be notified in advance by letter.
WHAT HAPPENS IF I CANCEL MY BLOCK BOOKINGS?
A regular booking of the facilities is only
approved by the Manager upon condition that the hirer does not
cancel any of the dates booked unless there are exceptional reasons
i.e. Bank Holidays, or if the venue requires use of the
facility for a major athletics event or other similar happening. If
the hirer wishes to cancel an individual date from their booking
they can do so at anytime providing at least 7 days notice is given
and notification must be made in writing stating the reason for the
cancellation. All payments due must be made in full if
the hirer decides to terminate their booking.
OCCASIONAL BOOKINGS
An occasional or one off booking can be made
more than seven (7) days in advance, subject to the date/s and
times being available. Applications of this type are normally
accepted for meetings, conferences, social events or one off
sporting events etc. For each application made a venue booking
form must be completed. Occasional bookings will
normally be approved up to twelve (12) months in advance
from the date the application is made. Any bookings
taken after this period will be at the discretion of the Stadium
Manager.
The Stadium Manager reserves the right to
cancel any booking in the event of an application being received
for a major athletics event. If this occurs we shall confirm the
cancellation as soon as possible stating the reason for the
cancellation. Any payment made by the hirer will be refunded and
/or every effort will be made to change the dates/times to the
satisfaction of the hirer.
HOW DO I PAY FOR MY OCCASIONAL
BOOKING?
Upon receipt of an application form the applicant will be
contacted to confirm their exact requirements including all costs.
All hirers of occasional bookings with the exception of social
bookings will be sent an invoice immediately after the event and
payments must be made by the due date. All persons making a booking
for a social function (with the exception of children's birthday
parties at weekends) must pay 50% of the venue hire at the time of
the booking and an invoice for the remainder will be sent
immediately after the booking. Payment for children's parties must
be paid in full at the time the booking is made. All payments must
be made by the due date and can be made either by cheque visa or
cash directly to the reception at the Athletic Stadium. All cheques
must be made payable to Bedford Borough Council. An
Important consideration: Do not announce an event or issue
tickets and/or expend any money and/or make any arrangements or
commitments until you receive actual confirmation of your booking
and you have received your booking conditions.
WHAT HAPPENS IF I CANCEL MY OCCASIONAL
BOOKING
If an occasional booking for a social event is
cancelled less than 2 weeks before the booked date the deposit paid
will only be refunded if the facility is re-let. For all other
occasional bookings cancelled after the booking has been confirmed
the Stadium Manager reserves the right to levy an administration
charge of £25 for each booking made.
CAN BEDFORD BOROUGH COUNCIL CANCEL MY
BOOKING?
Bookings are accepted on condition that,
should the venue be required for council, civic or parliamentary
purposes or an emergency, the venue will if possible transfer the
booking to another venue or an alternative date at the same cost as
your original booking. If this is not possible, the venue may, at
its discretion, cancel the booking and notify the hirer of the
reason(s). In this instance a full refund of any monies paid will
be made.
The venue reserves the right to cancel a
booking at any time. The cancellation will be confirmed in writing
as soon as possible, with the reasons for the
cancellation. The venue at its discretion may refund
part or all of the monies paid by the hirer. The venue will not be
liable to the hirer for any costs incurred by such a
cancellation.
PERIOD OF USE
All persons must vacate the venue by the
time specified on their venue booking form.
If the hirer's event finishes later than the time
stated on the booking form, the Stadium
Manager reserves the right to charge an additional cost at the
current rates of hire.
You must not leave property or equipment at
the venue either prior to or after your event without the
Manager's permission.
If property or equipment is left at the
venue without permission, the items remaining may incur storage
charges. You will be required to pay the venue the additional costs
on demand.
COMPLAINTS OF SERVICE
In the event of a customer complaint about
the standard of service provided by the venue, the problem must be
taken up immediately with the Duty Officer during the
time of the booking. In the event of a complaint arising
after the event the hirer must contact the Stadium Manager either
by telephone or in writing within a reasonable period of
time. E.g. 0-5 days

care for everyone using the venues facilities and our team makes
every effort to ensure your visit is both safe and enjoyable. If
during your visit you see a safety hazard please report it
immediately to a member of staff on duty

If for any reason you are not
completely satisfied with the service you have received when
visiting “Your Stadium” – please speak to either the Duty
Receptionist or Duty Officer, or if you prefer the Stadium
Manager.
